"Xeon - Orders Notifier" app facilitates merchants to send automated bulk email notifications to customers about delay in order fulfilments. and also it helps in sending order status report to staff members or admins via email or slack so that merchants can have a track on unfulfilled orders.
We have two ways of configuring the app as mentioned below:
I. Configuring app to send unfulfilled orders notifications for customers.
II. Configuring app to send list of unfulfilled orders to staff, admins.
STEP - 1 : Click on "Add New Notifier", You will find two options as shown in the below image. To send notifications for customers select 1st option - Add notifier to send emails to customers of unfulfilled orders.
Note :
✍️ Separate notifiers can be created to customers and staff members.
STEP - 2 : Enter all the text fields in "Details" section as shown in the below image.
➡️ 'Name' field - Enter a descriptive notifier name.
➡️ 'Include Orders created at or before' - This field tells the Notifier(app) to pick the orders which are older than or equal to the value provided in this field. For example putting 14 days means that whenever the Notifier runs it will pick orders which are older than or equal to 14 days.
➡️ 'Exclude Orders created before' - This field tells the Notifier(app) to Exclude the orders which are older than to the value provided in this field. For example putting 30 days means that whenever the Notifier runs it will Exclude orders which are older than 30 days.
NOTE :
✍️ Exclude time value must be greater than include time value.
✍️ Difference between include-exclude time must be less than or equal to 60 days.
Example :
Valid scenario - If 'Include orders created at or before' = 30 and 'Exclude orders created before' = 90 then difference will be 90-30 = 60 days.
Invalid scenario - If 'Include orders created at or before' = 30 and 'Exclude orders created before' = 190 then difference will be 190-30 = 160 days.
✍️ Please enter a valid value between 1 to 1000.
STEP - 3 : Configure "Frequency" - (i) Scheduled or (ii) Manual
➡️ 'Scheduled' - Merchants can priorly decide when to run a notifier by setting up the available options as shown in the above image i.e., 'Run on the following days', 'Time to run' and 'Repeat Interval'. Therefore, Notifier will run automatically for a scheduled time without any manual intervention.
Benefits of scheduled notifier is that notifications will be triggered automatically for a scheduled time without any manual intervention.
➡️ 'Manual' - Notifier will run by manually clicking on 'Run-Now' button which is present on the dashboard page as shown in the below image:
Benefits of 'Manual' notifier is that notifications can be sent instantly on real time basis just by clicking on 'Run-Now' button.
STEP - 4 : Configure "Notification" part.
App provides easy editable and customizable email template in the notifications part.
'To' field - Send emails to customers of qualified orders.
You cannot perform any actions on 'To' field because the app will automatically fetch all the email id's of customers which are found within the selected range of orders (include-exclude orders range is set in step 1).
Advantage of our is that merchants need not add email id's of customers explicitly rather app itself will do it.
Merchants can fill the fields available in the notification section 'From Email', 'From Name', 'Reply-To', 'BCC' and 'Email Subject'.
In the below image you can find WYSIWYG editor so that the customized email content can be created. And there is a 'Send test email' option (shown in the below image) wherein you can enter any test email id and upon clicking on 'Send test email' - email is received hence merchants can check the test email and can make possible edits as per their requirements.
In the below image you can find 'Add template variable' - Upon clicking on 'Add template variable' link, List of variables are displayed as shown in the below image.
Click on 'Copy' the variable will be copied and paste it on the editor the variable will be copied. Our app provides various template variable, best customization of email is made possible for the end users.
STEP - 5 : "Filters" Section
Filters are used to filter orders based on certain conditions applied. Our app provides advanced filter options. Hence it becomes easy for merchants to select specific orders without any difficulty.
STEP - 6 : Set 'Actions'
'Actions' step is executed after sending the notifications to customers. This step is optional.
After sending unfulfilled order notifications to the customers then all such unfulfilled orders are tagged by the given tag name. Our app provides a default order tag as 'UON-EMAIL-SENT' as shown in the above image. Whenever any email triggered for a particular order then all such orders are tagged by the tag name 'UON-EMAIL-SENT'. The main key point to remember is that when the same notifier runs next time then all the tagged orders are exculded from sending email notifications. Therefore merchants can avoid sending repeated emails for customers.
STEP - 7 : Click on 'Save' button as shown in the below image.
After clicking on 'Save' button notifier is created successfully.
STEP - 8 : Click on 'Run-Now' button to execute Notifier manually as shown in the below image.
If a notifier is scheduled for specific time then email notifications will be triggered automatically for the scheduled time.
After clicking on the 'Run-Now' button notifications are sent to customers.
NOTE :
Notifiers frequency can be easily recognizable in the above image. In the frequency column you can find whether a notifier is created for a manual run or scheduled.
All the steps included in "Configuring app to send unfulfilled orders notifications for customers." applies same for "Configuring app to send list of unfulfilled orders to staff, admins." but the only difference is that,
Merchants need to add staff/admin email id's explicitly. As shown in Below Image - 1
Merchants can configure slack. As shown in the below image. As shown in the below Image - 2
In frequency section, The following option is available - Send notification only if there is at least 1 order in it. As shown in the below Image - 3
In Notifications sections, The following option is available - Attach CSV file. As shown in the below Image - 4 and Image - 5
